An RIA database combines public investment-adviser records with search, normalization and sometimes contact enrichment. The SEC’s Investment Adviser Public Disclosure system is an authoritative starting point, but a commercial database may add workflow value—and additional accuracy, privacy and licensing risk.
Define the use case
Specify whether the data supports market sizing, due diligence, territory planning, research, compliance or outreach. A dataset suitable for counting firms may not contain current contacts. List required fields, acceptable age, geography, identifiers and legal basis before comparing vendors.

Use stable identifiers
Use CRD and other authoritative identifiers rather than firm name alone. Preserve the original value, vendor-normalized value, source, retrieved date and confidence. Never overwrite a verified regulatory record with an untraceable marketing field.
Test freshness and accuracy
- Draw a representative sample by firm size and state.
- Compare regulatory fields with IAPD and current filings.
- Test duplicates, missing values and false entity matches.
- Verify contact fields through lawful, independent methods.
- Measure bounce, complaint and routing outcomes.

Review licensing and outreach
Read permitted users, exports, derivative data, retention, sharing, audit rights and termination. Confirm compliance with email, calling, privacy and suppression rules for the intended audience. Public availability does not automatically permit every reuse. Apply regulated-market trust controls.
Plan the CRM integration
Define a data owner, canonical identifier, field-level precedence, update logic, suppression-first import, validation, rollback and change log. Test creates, updates, merges, deletions, API limits and partial failure. Avoid multiplying one vendor error across every connected system.
Build a weighted scorecard
Score coverage, regulatory accuracy, enrichment precision, refresh evidence, search, export, integration, licensing, privacy, security, support and total cost. Weight the criteria by the business use and run a time-limited pilot before a long commitment.
